Cancellation Policy
Beyond Choir relies on the support of dedicated volunteers to help create safe, welcoming, and well-organized events for our singers and audiences. To ensure a smooth experience for everyone, the following policy governs all volunteer sign-ups made through our online booking tool. 1. Eligibility & Expectations Volunteers must be at least 16 years old unless otherwise noted for specific roles. By signing up, you agree to arrive on time, follow instructions from staff and crew leads, and represent Beyond Choir with professionalism and courtesy. Volunteers are expected to uphold all Beyond Choir policies, including our Anti-Bullying and Harassment Code of Conduct. 2. Commitment to Scheduled Shifts When you reserve a volunteer shift, you are committing to attend. Please sign up only for roles you are fully available and able to complete. Your reliability ensures smooth operations and supports our performers, youth participants, and guests. 3. Cancellations & Changes If you must cancel, you must do so at least 48 hours in advance using the cancellation option in your booking confirmation email. Last-minute cancellations or no-shows significantly impact event operations. Frequent no-shows may limit future volunteer opportunities. 4. Check-In Procedures Volunteers must check in with the Executive Director or designated crew lead upon arrival. Crew leads are responsible for providing task instructions, safety guidelines, and any necessary equipment or materials. 5. Conduct & Safety Volunteers agree to maintain a respectful environment for singers, youth participants, staff, and fellow volunteers. Harassment, bullying, discrimination, or unsafe behavior will not be tolerated. Concerns should be reported through the official online reporting form. Beyond Choir reserves the right to dismiss volunteers from a shift if behavior or performance is inconsistent with our standards. 6. Photography & Media Volunteers may appear in event photography or promotional media. If you prefer not to be photographed, please notify the Executive Director at check-in. 7. Benefits As available, volunteers may receive complimentary admission, light refreshments, or other perks specific to the event. These benefits are not guaranteed and may vary. 8. Organizational Rights Beyond Choir may adjust volunteer roles, shift times, or assignments as needed for operational or safety reasons. We reserve the right to remove volunteers from future opportunities if policies are not followed.
